How To

This work-flow describes the process of importing data into the Stock file.

 


 

CREATE DATA

Do this ...

Prepare a spreadsheet for data

 

Create a new spreadsheet (or open an existing data import spreadsheet).
Add the column titles to the spreadsheet.
Ensure that the 'PRODCODE' column title is included.

Add data to the spreadsheet

Collect the data to be imported.
Copy the data columns to the import spreadsheet.

 

Notes:

1.A set of all all the possible header titles is available to make it easy to create a new spreadsheet.
a.Click the Template button on the Stock Import screen to copy the names to the clipboard.
b.Paste the titles into an empty spreadsheet.
c.Remove any unnecessary column titles.
2.The data to be imported may typically be collected using any of these methods.
a.Export / extract from an accounting system.
i.The column titles in the extracted data may have to be changed to match the column titles required for importing.
b.A spreadsheet of data previously exported from Stack-It, with adjustments, i.e. PRICE, COST.
c.Any other spreadsheet containing PRODCODE and additional data to be imported.

Open the Stock screen.
Click the Tools button.
Click the Import button.

Choose the import method to use

Two import methods are available, Copy & Paste or CSV file import.

Choose the one that best fits your needs at the time.

Copy & Paste Method



Transfer clipboard data

Select the data to be imported
Copy to the clipboard.
Click the Paste button on the Stock Import screen.

 


CSV File Method



Transfer file data

Save the spreadsheet containing the data to a CSV file.
Click the Browse button on the Stock Import screen.
Select the CSV file to import.
Click the CSV Load button on the Stock Import screen.

 


 

SELECT OPTIONS

Do this ...

After the transfer...

The File Statistics panel displays the number of records and the number of tokens (column titles) received.

The Valid Tokens panel displays the tokens that can be imported.

Select the tokens

Select the check-box for the tokens to be imported.

 


Select the import data options

Select the Data Key option that matches the key element in the import data
Select the desired Import Zero Dollar Values option

 

Notes:

1.The token for the Data Key is automatically unchecked. It is unnecessary to import this token.
2.All other tokens may be selected as desired. It is not necessary to import all the tokens in the data.
3.Importing can be performed multiple time with different selections.
4.The Data Key is used to match records in the import file to corresponding Stock file records.
a.The default setting for Data Key is ProdCode.
b.When the Size-Component-CatID option is selected, all three columns must be included in the import data.
5.When the Import Zero Dollar Values option is checked, zero dollar values (price, cost) in the import data will set the corresponding stock parts to zero dollars. Leaving this option unchecked will ignore any zero dollar values in the import data.

 


 

APPLY DATA

Do this ...

Apply the data

Click the Apply button to apply the imported data to the stock parts.
Optional, click the Copy button to copy the process report to the clipboard.

 

Notes:

1.When more than one part matches the data key, all matching parts will be updated.
2.The results of the import operation will be displayed in the Process Report panel. The report lists each data key and whether it was imported or skipped. You can paste the report into a spreadsheet for review.
3.The Apply button updates the stock data currently in memory, similar to the Replace button on the Stock screen. You will have a chance to either save or discard the imported data after returning to the Stock screen.

Close the import screen

Click the Close button to close the Stock Import screen.
